Policies & Client Requirements

ClearWay Visitation Services is committed to providing safe, structured, and professional visitation and monitored exchange services. All clients are expected to review and follow the policies below before services begin.

1. Intake & Service Authorization

  • An intake session is required before services begin unless otherwise approved by ClearWay.
  • Required court orders, referrals, contact information, and other requested documentation must be provided before services are scheduled.
  • ClearWay must receive sufficient information to determine the appropriate service and supervision requirements.
  • Services are provided according to the applicable court order, referral, or written agreement.

2. Payment Policy

  • Full payment is required before each scheduled visit or exchange begins.
  • Payment must be received by the required deadline to confirm the appointment.
  • Appointments that have not been paid for may be cancelled or released.
  • Accepted payment methods include major credit/debit cards and secure digital payments.
  • Additional fees may apply for specialized documentation, extended travel, court-related requests, or services outside standard scheduling.

3. Scheduling & Cancellation

  • Services must be scheduled in advance.
  • Clients are expected to arrive on time and be prepared for the scheduled service.
  • Cancellations or requests to reschedule should be made as early as possible.
  • Late arrival does not automatically extend the scheduled service.
  • Repeated cancellations, missed appointments, or failure to comply with scheduling requirements may result in termination of services.

4. Visitation Requirements

  • All participants must follow the visitation guidelines established by ClearWay and any applicable court order.
  • The visiting parent must remain within the designated visitation area and follow staff instructions.
  • Participants may not leave the designated visitation area without authorization.
  • Children must be supervised appropriately by the visiting parent throughout the visit.
  • Any prohibited items or activities identified by ClearWay or the applicable court order are not permitted.

5. Monitored Exchange Requirements

  • Both parties are expected to follow the scheduled exchange time and location.
  • Parties should remain separated when required by the service plan or court order.
  • Participants must conduct themselves appropriately and avoid confrontation, harassment, threats, or inappropriate communication.
  • ClearWay staff may document significant incidents occurring during an exchange.

6. Safety & Conduct

ClearWay maintains a zero-tolerance policy for threatening, violent, intimidating, or abusive behavior toward staff, children, or other participants. Services may be suspended or terminated when behavior creates a safety concern. Weapons, illegal substances, intoxication, or other conduct that compromises safety are prohibited during services.

7. Documentation & Reports

  • ClearWay may maintain documentation regarding services provided, attendance, significant incidents, cancellations, and compliance with service requirements.
  • Reports are factual and based on observations and information available to ClearWay.
  • Documentation does not constitute a custody recommendation or legal opinion unless specifically authorized and qualified as such.
  • Written reports are available according to the applicable fee schedule.

8. Court Orders & Changes

Clients are responsible for providing ClearWay with current and complete court orders affecting visitation or exchange services. ClearWay will follow applicable provisions of the court order but does not interpret or modify court orders. Any requested changes that conflict with an existing court order may require clarification or authorization from the appropriate authority before implementation.

9. Confidentiality & Records

Client information and service records are handled professionally and disclosed only as permitted or required by applicable law, court order, authorization, or other legal obligation.

10. Termination of Services

  • Violates service policies
  • Fails to make required payments
  • Repeatedly misses appointments
  • Provides false or materially incomplete information
  • Engages in threatening, abusive, or unsafe behavior
  • Fails to comply with applicable court orders or service requirements

By requesting or participating in ClearWay Visitation Services, clients acknowledge that they have reviewed and agree to comply with applicable service policies and requirements. ClearWay Visitation Services reserves the right to update policies and requirements as necessary.
